  • Related public instructions; check applicability and missing conditions.

Stops check-in agents from sending trial nudges to users who already churned, converted, or expired. Use when churned users report getting trial countdown emails, or the send list is built from a stale user table. Not for email template bugs or delivery bounces.

When it applies

Not specified by the original author.

Instructions

Stop the check-in agent emailing users who already churned their trial

TL;DR

Look up each recipient's live subscription status right before building the send batch, and drop anyone churned, converted to paid, or expired. A nudge list built from yesterday's user table will always contain ghosts. If the plan lookup fails, skip the send - never assume the user is still on trial.

The problem

sent: "3 days left in your trial" to [user email]
billing state for that user: trial canceled 6 days ago, status = churned
no status check ran before the send batch

Use this skill

Agent? Search Vectle for this error:

curl -s "https://vectle.com/api/v1/search?q=check-in agent emailed users who already churned trial"

Fix it

Step 1: Pull live subscription status per recipient before every batch

For each address on the nudge list, query the billing system (Stripe, Chargebee, or your own subscriptions table) for current status. Cache the result only for the duration of that batch.

Expected: every recipient has a fresh status - trialing, active, churned, expired - stamped within the last hour.

Step 2: Filter the list to trialing users only

Drop churned, canceled, converted-to-paid, and expired trials before any send. Log who was dropped and why so the list is auditable.

Expected: the send list shrinks to genuine active trials, and the dropped list is reviewable.

Step 3: Fail closed when the lookup fails

If the billing lookup errors or times out for a recipient, exclude them from the batch and flag the lookup failure. A missing status is not a green light.

Expected: no email goes out on unknown status, and lookup failures surface as alerts instead of silent sends.

Step 4: Stamp status on the send record

Record the subscription status and the lookup timestamp next to every sent email.

Expected: any complaint can be traced to the exact status the agent saw when it sent.

Step 5: Backfill the user table the agent was reading

If the agent built the list from a local user table, fix the sync that keeps it fresh - status changes should flow within minutes, not days.

Expected: the stale-table path disappears and the agent reads from the billing source of truth.

When this applies

  • Churned or converted users receive trial countdown or nudge emails
  • The send list comes from a user table that is not synced with billing
  • Status is checked once at signup and never again before sends

When it doesn't

  • The emails themselves bounce or fail to deliver (a delivery problem, not a targeting problem)
  • The complaint is about email content or tone, not who received it
  • You intentionally re-engage churned users (then use a win-back flow, not trial nudges)

Compatibility

Stripe, Chargebee, Paddle, and Braintree subscription lookups; SendGrid, Postmark, and Customer.io for sends. Applies to any check-in or lifecycle email agent.

Variant phrasings

check-in emails going to canceled trial accounts

Same fix. The list is stale; move the status check into the send path instead of the signup path.

trial expiry nudge sent to users who already paid

Worse version of the same bug - a paid user getting a trial warning. The converted-to-paid filter in Step 2 covers it.

Why it happens

The agent snapshots the user's trial state at signup and treats it as permanent. Trials end, users churn, people convert - and the snapshot never updates. Sending a "trial ending" email to someone who canceled a week ago is both embarrassing and a trust hit, and it happens because the send path never re-checks reality.

Edge cases

  • Trials in grace periods or dunning: define explicitly whether they count as trialing
  • Plan upgrades mid-trial: a converted user must leave the trial sequence immediately
  • Multi-workspace accounts: one canceled workspace does not mean the user churned

If it still fails

  • Capture the recipient, the status the agent recorded, and the real billing status before changing anything else.
  • Reproduce with a single churned test user so you are not debugging a crowd.
  • Check the billing provider status page; API outages look exactly like lookup bugs.

Prevention

  • Never build a lifecycle send list from a snapshot; always re-check status in the send path.
  • Alert when lookup failures exceed a small threshold instead of silently skipping.
  • Review dropped-recipient logs weekly for patterns (bad sync, missing webhooks).

check-in agent looped nudge emails after user already activated

  • Related public instructions; check applicability and missing conditions.

Stops a check-in agent that keeps sending nudge emails after the user already activated. For onboarding sequences where active users get pestered. Trigger: activated users receiving nudge emails. Not for nudges that never send.

When it applies

Not specified by the original author.

Instructions

TL;DR

Your check-in agent keeps sending "we miss you" nudges to users who already activated because it never re-checks activation status before sending. The fix: query the current activation state at send time and skip anyone already active. Then fix the scheduling so the nudge sequence cancels itself the moment activation is recorded.

The error

User activated 2026-10-03; received nudge emails on 10-04, 10-05, 10-07
Agent log: "user inactive, sending nudge #3"

Steps

  1. Confirm the stale reads. Pick an affected user and compare the agent's log timestamp against the activation timestamp. Expected output: the agent read "inactive" after the user was already active.
  2. Add a send-time status check. Before each nudge, fetch the live activation state. Expected output: the check returns active and the send is skipped.
  3. Cancel the sequence on activation. Wire the activation event to cancel any scheduled nudges for that user. Expected output: no nudges are even scheduled after activation.
  4. Backfill the damage. Find all users who got post-activation nudges and suppress the rest of their sequence. Expected output: zero further nudges to activated users.
  5. Watch one full cycle. Expected output: inactive users still get nudges; activated users get none.

When to use

  • Activated users complain about nudge emails
  • The agent's log shows "inactive" for users who are active
  • Nudges continue on a fixed schedule regardless of user state

When not to use

  • Nudges never send at all: the scheduler or template is broken
  • Active users get the wrong email content: a segmentation problem
  • You want to nudge active-but-disengaged users: that is a new campaign, not this bug

Tool compatibility

Any check-in or lifecycle email agent: marketing automation platforms, custom schedulers, and agent frameworks with timed actions. The send-time check pattern works with any activation event source.

Variant phrasings

nudge emails after activation

Re-check status at send time.

onboarding emails keep coming after signup complete

Cancel the sequence on the activation event.

check-in agent spamming active users

Stale state; verify before each send.

user activated but still getting reminders

The schedule never learned about the activation.

Why it happens

The agent snapshots the user list when the sequence starts ("these 40 users are inactive") and then works through the snapshot for days. Activation happens in a different system, and nothing updates the snapshot. Each nudge send reads the stale list, concludes the user is still inactive, and fires. It is the classic read-once-act-many bug. The fix is to make state a per-send question ("is this user active right now?") instead of a per-sequence assumption, and to let the activation event kill the schedule outright.

Edge cases

  • Activation is defined by multiple events: pick one canonical "activated" flag or the check stays ambiguous.
  • The activation event arrives late: keep the send-time check as the backstop even with event-driven cancellation.
  • Users who activate then churn: do not restart the onboarding nudges; that needs a separate win-back flow.
  • Timezone-scheduled sends: a user activating an hour before a queued send still gets that one email. Accept it or shorten the queue window.

churn agent sent save-play emails to already-cancelled accounts: agent used a stale cancellation export

  • Related public instructions; check applicability and missing conditions.

Fixes a churn agent that sent save-play emails to already-cancelled accounts because it used a stale cancellation export, by adding send-time status checks. Use when an agent mailed accounts whose status changed. Not for a one-off manual send to a wrong address.

When it applies

Not specified by the original author.

Instructions

TL;DR

An agent is only as current as the file you hand it. A cancellation export taken hours or days earlier cannot know about this mornings saves, payments, and reactivations, and an agent sending at machine speed turns that small staleness into a large, embarrassing blast radius. Check every recipients live status at send time, expire exports aggressively, clean up the wrongly mailed accounts with their owners, and the same agent becomes safe to run daily.

churn agent sent save-play emails to already-cancelled accounts: agent used a stale cancellation export

Use this when

  • Save-play or win-back emails reached accounts that had already cancelled, renewed, or been saved before the send
  • The agent worked from an exported file or a cached list rather than live account status
  • Recipients replied in confusion or anger, or CSMs reported the sends after the fact

Not for this skill when

  • The accounts were correctly cancelled at send time and the complaint is about email content or tone
  • The agent sent to the right accounts but duplicated sends, a separate idempotency problem

Steps

  1. Freeze the agent and preserve evidence. Pause the sending job, keep the exact export file, run logs, and recipient list it used, and record the export timestamp against the send timestamp, because the size of the staleness gap and the exact population sent are the two facts every later conversation will need. Verify: the agent is paused and the export, logs, and recipient list are preserved
  2. Quantify the harm precisely. Join the recipient list against live billing and CRM status as of the send moment, using status history where available, and classify each wrongly mailed account, already cancelled, already renewed, or already in an active save with a CSM, then assign each a human owner for follow-up before any system work continues. Verify: every wrongly mailed account is classified with a named follow-up owner
  3. Handle the customer impact with people, not automation. Owners contact affected accounts with a brief apology and correction, check whether any offer in the email conflicts with the customers current terms, and log every contact in the CRM, because an automated apology from the same agent that caused the problem deepens the trust damage. Verify: follow-up contacts are completed and logged for all affected accounts
  4. Rebuild the send path around live status. Replace the file based audience with an API or warehouse query executed at send time, and add a per recipient status recheck immediately before each send that skips any account whose status changed since the run started, logging every skip with its reason so the protection is auditable. Verify: a test run skips a seeded account whose status changed mid-run and logs the skip
  5. Expire and label any export that must still exist for other steps. Stamp exports with their creation time, enforce a maximum age in the agent configuration measured in hours, and have the agent refuse to send from an expired file rather than warning and continuing, because warnings get acknowledged and forgotten while refusals get fixed. Verify: the agent refuses a deliberately aged export in a test run
  6. Restart in stages with review. Run the agent in draft mode for several cycles with a human approving the recipient list and the skip list, compare its choices against live status, and only restore full automation once the skip mechanism has demonstrably caught real changes, keeping the send-time check permanently rather than as a launch scaffold. Verify: draft mode cycles are reviewed and the staged restart decision is recorded

Why it happens

Agents act on the world as described by their inputs, and a static export describes a world that no longer exists by the time sends happen. Humans unconsciously compensate, they notice a familiar account saved yesterday and skip it, while an agent executes the list faithfully and fast. The failure is therefore architectural, status must be revalidated at the moment of action, and every hour of input age multiplies the number of accounts whose truth changed in between.

Compatibility: Agent sending workflows, live account status from billing and CRM systems such as Stripe, Salesforce, or HubSpot, and export handling, in current agent framework versions.

Variants and edge cases

agent sent emails to cancelled accounts stale export

['The direct phrasing. Live status at send time is the control, export freshness alone will always eventually fail.']

save-play agent wrong recipients status changed

['The blast radius variant. Quantify and apologise account by account, the incident is a customer trust event first and a pipeline bug second.']

churn agent audience file too old automation

['The process variant. Any file an agent sends from needs an age limit enforced in code, not a naming convention people are asked to respect.']

Edge cases to work through before you close the incident:

  • A live query at run start is not a send-time check. Long runs drift too, so recheck per recipient or in small batches through the run.
  • Skipped recipients need review, not silence. A daily skip digest to the agent owner shows the control working and catches accounts stuck in odd states.
  • Keep a global suppression list for accounts in sensitive situations, legal disputes, escalations, recent complaints, that no campaign style agent may mail regardless of billing status.
