goods receipt not found" error when matching the freight invoice to the PO
Fixes a goods receipt not found error when matching a freight invoice to the PO: match freight to the shipment or the transport order, not to a goods receipt that freight never creates. Use when the blocked invoice is for freight or transport. Not for the goods invoice itself.
TL;DR
Freight has no goods receipt because nothing enters inventory; the delivery evidence is the bill of lading and the carrier proof of delivery. If the match demands a GR for a freight line, the PO structure is wrong: freight belongs on a separate freight line or a transport order matched two-way against the shipment. Re-point the freight invoice to the shipment record, verify the charge against the freight agreement, and clear it two-way.
"goods receipt not found" error when matching the freight invoice to the POUse this when
- The blocked invoice is from a carrier or forwarder, or is a freight-only charge.
- The related goods invoice matched and paid normally.
- The PO carries freight as a line that expects a goods receipt.
Not for this skill when
- The invoice is for goods and no GR exists. Follow the standard GR not found workflow.
- The freight charge itself is wrong in amount. That is a freight audit issue to resolve after the match path is fixed.
Steps
- Confirm the invoice is freight-only and identify the shipment it belongs to by bill of lading or tracking reference. Verify: the freight invoice ties to one named shipment
- Check how freight was ordered: a PO line expecting GR, a separate freight PO, or a transport order in the TMS. Verify: you know which structure the match engine expects
- Gather the delivery evidence for the shipment: proof of delivery and the goods receipt of the underlying goods as supporting context. Verify: delivery of the shipment is proven
- Reassign or match the freight invoice two-way against the shipment or transport order, verifying amount against the freight rate agreement. Verify: the match clears without a goods receipt
- Fix the ordering template so future freight is raised in the structure the match engine can clear. Verify: the next freight order for the same lane is created in the corrected structure

The how-to phrasing.
Compatibility: Freight and transport matching in SAP TM and MM, Oracle, NetSuite, and standalone TMS to ERP flows.
Why it happens
Three-way match assumes every purchased thing is received into stock. Freight is a service consumed in transit, so its receipt event does not exist in the warehouse system. When freight is written as a material line on a PO, the match engine waits forever for a receipt that cannot be created. The fix is structural: give freight a match path based on shipment documents, which are its real evidence.
Edge cases / pitfalls
- Planned freight on the goods PO as a condition or surcharge line matches with the goods; unplanned freight invoiced later needs its own path. Distinguish the two.
- Duplicate freight risk is real: check the goods invoice did not already include the same freight before paying the separate freight invoice.
- Accessorial charges such as detention appear only on the carrier invoice. The rate agreement check should allow listed accessorials.
