Solution skill
dashboard export to CSV failed with error "result set too large" troubleshooting
Complete solution
Fixes a dashboard CSV export that fails because the result set is too large, by reducing the export scope or switching to a scheduled file delivery. Use when an export errors on size while the dashboard itself works. Not for an export that fails on permissions for every size of result.
TL;DR
Reduce the rows the export must produce before trying again. Apply the dashboard filters to a narrower window, export at an aggregated level instead of row level detail, or use the tool scheduled delivery or direct query path for the full file. Export limits exist per tool and per format, and a dashboard view that pages results happily on screen can exceed them the moment a viewer asks for everything at once.
result set too largeUse this when
- Exporting a dashboard or table to CSV fails with a result too large message.
- A narrower date range or a filtered subset exports successfully.
- The export is a row level detail pull behind what looks like a summary dashboard.
Not for this skill when
- Exports of any size fail with a permission message. Resolve export permissions first.
- The export succeeds but the file is truncated silently. That is a limit behaviour to handle by splitting, related but different from a hard failure.
Steps
- Note the filters and granularity of the failing export and estimate its row count with a count query. Verify: the expected rows exceed the tool documented export limit
- Apply a narrower filter window, such as one month or one segment, and export again. Verify: the reduced export completes and the file row count matches the count query
- If the business need is the full set, switch to the path built for it, such as a scheduled delivery to file storage, a direct query extract, or the tool API with paging. Verify: the full file is produced through the alternate path
- Where row level detail is not needed, change the export source visual to an aggregated version for export purposes. Verify: the aggregated export completes within the limit and totals match the dashboard
- Split recurring large pulls into dated chunks and document the split so recipients can reassemble them. Verify: the chunk files together cover the full requested window with no gaps
- Record the limit and the chosen path in the dashboard notes so the next viewer does not rediscover it. Verify: the note names the limit and the working export method
Why it happens
Export limits protect the shared rendering and query infrastructure from single file pulls that behave like batch jobs. The failure is therefore a routing problem, send the big pull down the batch path and keep the interactive path for inspection sized work. Dashboards that regularly need full detail exports are usually hiding a data delivery requirement that deserves its own scheduled extract.
Interactive dashboards page, sample or aggregate results for display, while an export asks for the complete filtered set in one file. That difference is why size failures surprise users, the screen never showed them how much data the export implies. Limits also differ between the interactive export, the scheduled delivery and the API paths in the same tool, so the right workaround is often a different path rather than a smaller question.
Field notes for dashboard estates generally. The most valuable incident habit is to separate the layers before changing anything, source data, dataset or model, dashboard definition, and delivery or viewing layer, and to prove which layer is wrong with one test per layer. Most dashboard failures are reported at the viewing layer and fixed at the wrong layer at least once before the real cause is found. A one line layer verdict in the incident note, with the test that proved it, saves the next engineer the same detour when the symptom recurs.
A second general habit is to keep a known good reference for every important dashboard, one number per dashboard that an owner can check against the source system in under a minute. Reconciliation beats error hunting for the silent failures, wrong definitions, shifted dates, stale caches, because those produce no error at all. Dashboards with a reference check get their silent failures found by the team, while dashboards without one get them found by the audience, which is the difference between maintenance and incident response.
