negative cash balance" error in the GL while the bank account shows a positive balance

Export

Fixes a negative cash balance in the GL while the bank shows positive: find the book-side items posted without bank counterparts, usually disbursements recorded twice or deposits recorded in the wrong account. Use when GL cash is negative but the bank is not. Not for a true overdraft.

TL;DR

Negative GL cash with a positive bank balance is a book error, not an overdraft. The usual causes are checks or ACH payments recorded in the GL that never left the bank, a deposit posted to the wrong cash account, or disbursements duplicated by an import. Work the bank rec exception list by size, prove each large book item against the bank, and correct the book side. Do not post a balancing entry to cash without identifying the items.

"negative cash balance" error in the GL while the bank account shows a positive balance

Use this when

  • The GL cash account is negative while the bank statement balance is positive.
  • Outstanding book disbursements are far larger than the real payment pipeline.
  • More than one cash account exists and deposits may land in the wrong one.

Not for this skill when

  • The bank account itself is overdrawn. That is a treasury problem, not a reconciliation break.
  • GL cash is positive but less than the bank. That is the normal outstanding-check pattern, not this error.

Steps

  1. Run the bank rec and list every outstanding book item by age and amount, largest first. Verify: the outstanding total explains the gap between GL and bank balances
  2. For the largest disbursements, confirm with the bank whether each item ever cleared or was ever presented. Verify: each large item is marked cleared, never presented, or still genuinely outstanding
  3. Check deposits in the other cash accounts for amounts matching the missing deposits here. Verify: any misposted deposit is located with its journal reference
  4. Correct proven book errors only: void duplicate disbursements, move misposted deposits, each with its own entry and reference. Verify: GL cash moves by exactly the corrected total
  5. Rerun the rec and confirm GL cash is no longer negative for book reasons, with remaining outstanding items all recent and real. Verify: no outstanding item is older than its normal clearing window without an explanation

Variant phrasings

GL cash negative bank balance positive reconciliation

The two-balance contradiction phrasing.

negative book cash duplicate disbursements recorded

When duplicates are the suspected cause.

Compatibility: Bank reconciliation in QuickBooks, Xero, NetSuite, and Sage with multiple operating cash accounts.

Why it happens

GL cash is a claim about the bank, assembled from every system that posts to it: AP payments, payroll, manual journals, and feed imports. Any one of them can record money leaving that never left, and the GL happily goes negative because it does not know the bank balance. The bank, meanwhile, only moves on real instructions. Comparing the two exposes book-only items, which is why the rec, not the ledger, is the diagnostic tool.

Edge cases / pitfalls

  • Voided checks that were never un-recorded in the GL are a classic cause: the check died, the disbursement stayed.
  • A bank feed importing into the GL as well as the subledger can double-record deposits and payments. Check feed mappings if items duplicate in patterns.
  • Negative cash by entity or by fund can be a presentation split: total cash is positive, one slice is negative. Fix the slice allocation, not the total.
