suspense account balance keeps growing: "unidentified items" error in the month-end checklist

Export

Fixes a suspense account that keeps growing with unidentified items at month end: age the balance, assign every item an owner and a clearing rule, and stop new items landing unnamed. Use when suspense grows month over month. Not for a small stable suspense balance under active review.

TL;DR

A growing suspense balance means items arrive faster than anyone clears them, usually because bank feed rules dump unmatched receipts and payments into suspense with no owner. Age the whole balance, clear or reclass every item over 30 days with a named owner, and change the feed and import rules so new items land with a counterparty or a reason code. Clearing this month without fixing the inflow guarantees a bigger balance next month.

Use this when

  • The suspense balance is larger than last month and the checklist flags unidentified items.
  • Items in suspense have no counterparty, owner, or expected clearing date.
  • Bank feed or import rules post unmatched items to suspense automatically.

Not for this skill when

  • Suspense holds a few recent items with owners and clearing dates inside the normal window.
  • The balance is a deliberate clearing account for a payment processor settling in days. That is a settlement rec, not suspense decay.

Steps

  1. Export the full suspense detail with posting date, source, and any reference, and age it into current, 30, 60, and over-90-day buckets. Verify: the aged total ties to the GL suspense balance
  2. For each item over 30 days, identify the real counterparty from bank detail, remittance, or the originating batch, and name an owner for the rest. Verify: every old item has an identified account or a named owner
  3. Reclass cleared items to their real accounts with the original references in the memo, in batches by source. Verify: the suspense balance drops by exactly the reclassed total
  4. Change the bank feed and import rules that post to suspense so unmatched items require a reason code and owner at import. Verify: a test unmatched item can no longer post anonymously
  5. Set a month-end rule that suspense over 30 days must be zero or individually explained on the checklist. Verify: the next checklist flags only new, owned items

Compatibility: QuickBooks Online, Xero, NetSuite, and Sage suspense or Unidentified Funds style accounts fed by bank rules.

Why it happens

Suspense is designed as a short stop, but automation turned it into a destination. Feed rules optimize for importing everything today, so anything ambiguous goes to suspense, while clearing depends on someone remembering to look. Without an owner or an aging gate at close, inflow beats clearing every month. The account is a process signal: growth rate matters more than the balance itself.

Edge cases / pitfalls

  • Old suspense items sometimes are duplicates of transactions already booked correctly elsewhere. Prove the duplicate before writing the item off.
  • Write-offs from suspense need approval and a threshold policy. Small aged items still should not be cleared to income without review.
  • If one source system creates most items, fix that feed first. Pareto applies: one bad rule can be 80 percent of the balance.
