debits do not equal credits" error on the trial balance after the payroll import failed
Fixes a trial balance broken by a failed payroll import: find the partial batch, isolate the unbalanced lines, and repost or reverse cleanly. Use when payroll leaves debits unequal to credits. Not for a balance that was already out before payroll.
TL;DR
A failed payroll import almost always posts a partial batch: wage expense and tax lines land, the net-pay and clearing credits do not, so debits exceed credits by exactly the missing leg. Do not force a plug entry. Pull the import log, total the posted lines by batch, and either complete the missing credits from the payroll register or reverse the partial batch and reimport the whole run.
"debits do not equal credits" error on the trial balance after the payroll import failedUse this when
- The trial balance went out of balance right after a payroll import failed or was interrupted.
- The out-of-balance amount equals a payroll component such as net pay, employer taxes, or a deduction clearing total.
- The payroll register itself balances, so the break happened during import, not in payroll calculation.
Not for this skill when
- The trial balance was already out of balance before the payroll run. Investigate the earlier break first.
- Payroll calculated wrong amounts. That is a payroll configuration problem, not an import break.
Steps
- Freeze further posting to the affected payroll accounts and export the trial balance detail for the payroll date range. Verify: no new entries land while you isolate the break
- Open the payroll import log and list every batch with posted, failed, or partial status for that run. Verify: the failed batch id and its line count are identified
- Total debits and credits for the partial batch alone and compare the difference to the payroll register totals by component. Verify: the difference matches one named component exactly
- Choose one path only: post the missing credit lines referencing the original batch, or reverse the entire partial batch and reimport. Verify: you are not mixing a completion entry with a full reimport
- Rerun the trial balance and confirm debits equal credits, then tie total payroll expense to the register. Verify: trial balance difference is zero and expense agrees to the register

payroll journal entry out of balance after import error
The import-error phrasing controllers search.
Compatibility: NetSuite, Sage Intacct, QuickBooks Online, and Dynamics 365 payroll journal imports with batch status logs.
Why it happens
Payroll imports are not atomic in most ERPs. The importer commits line groups as it goes, so a timeout, a locked account, or a missing department mapping mid-file leaves a one-sided batch in the GL. The register stays correct because it lives in the payroll system; only the transfer broke. That is why the difference almost always equals a whole payroll component rather than a random amount.
Edge cases / pitfalls
- If the difference equals two components combined, two batches failed. Fix them separately so the audit trail stays readable.
- A suspense or payroll clearing account with a residual after the fix usually means a deduction line mapped to the wrong account, not a missing line.
- Never plug the difference to miscellaneous expense to make the trial balance foot. Auditors flag unexplained plugs at year end.
