Totango task creation failed 403 insufficient permissions for segment: save play never assigned to the CSM

Fixes Totango task creation failing with 403 insufficient permissions for a segment so the save play is assigned to the CSM, by fixing the API user role and segment access. Use when tasks fail for one segment only. Not for a Totango outage affecting all tasks.

TL;DR

Read the 403 literally. Totango is saying the identity creating the task can see the segment name but is not allowed to create work inside it, usually because the integration user sits outside the segment team, the segment moved under a different hierarchy, or a permissions redesign cut API users out. Give the integration identity the right role on that segment, re-run the failed save plays, and check every other segment the playbook touches before CSMs lose another week of tasks.

Totango task creation failed 403 insufficient permissions for segment: save play never assigned to the CSM

Use this when

  • Task creation returns 403 for accounts in one segment while other segments work
  • The save play fires and health scoring is correct, only the task assignment fails
  • A segment restructure, hierarchy change, or permissions cleanup happened recently

Not for this skill when

  • All task creation fails across Totango including in the UI, suggesting a vendor incident or licence issue
  • The play never triggers at all, which is a segment or rule entry problem before permissions

Steps

  1. Reproduce the failure with one known at-risk account from the failing segment. Trigger the save play, capture the full API response and the timestamp, and confirm in Totango that no task was created, so you are debugging creation rather than a task created somewhere unexpected such as under a parent account. Verify: the failed attempt is reproduced with its response and no task exists for the account
  2. Identify the identity doing the creating. Integration tasks usually run as a named API or integration user, not as the CSM, so open that users role and team assignments in Totango admin and compare them with a segment where creation works. Note role level, segment scope, and whether the user belongs to the team that owns the failing segment. Verify: the integration users role and segment scope are documented for working and failing segments
  3. Check the segment itself. Open the segment settings and its place in the account hierarchy, and confirm whether it was recently moved, converted between team and global scope, or placed under a SuccessBloc or hierarchy node the integration user cannot write to. Segment moves are the classic silent cause because account data looks unchanged. Verify: any recent segment move or scope change is identified
  4. Apply the smallest permission change that fixes it, such as adding the integration user to the segments team with a role that can create and assign tasks, rather than promoting it to a global admin. Test creation again for the sample account and confirm the task lands with the right owner, due date, and play content. Verify: the sample task is created correctly and the permission change is recorded
  5. Recover the missed save plays. List every account that hit the 403 during the failure window from the playbook or integration logs, trigger task creation for each once, and dedupe against any tasks CSMs created by hand in the meantime so nobody works the same save play twice. Verify: every missed account has exactly one save play task and the list is shared with CS leadership
  6. Audit the pattern across all segments the automation touches. Script or manually test task creation per segment with the integration identity, record the results in the runbook, and add an alert on 403 responses from the Totango integration so the next permissions change surfaces the same day. Verify: the per segment test results are recorded and the 403 alert is active

Why it happens

Totango scopes write access by role and team membership per segment area. Automations run as a dedicated integration identity whose access was granted against an older segment structure. Reorganisations move segments without migrating those grants, so the identity can still read enough to attempt creation and then be refused at write time, producing a clean 403 while the playbook reports that it tried.

Compatibility: Totango segments, tasks, SuccessPlays, user roles and teams, and the Totango API, in current Totango versions.

Variants and edge cases

Totango 403 create task segment permissions

['The direct phrasing. Always separate the integration identity permissions from the CSMs own permissions, because the CSM can often create the task manually while the automation cannot.']

save play triggered but no task in Totango

['The symptom phrasing from the CSM side. Work backwards from the play log to the API response, the response code decides whether this is permissions, validation, or a silent drop.']

Totango API user cannot create tasks after restructure

['The restructure variant. Any segment or team reorganisation should trigger a permissions retest of every automation identity as a standing checklist item.']

Edge cases to work through before you close the incident:

  • A 403 can also hide a missing licence seat for the assignee in some configurations. If permissions look right, check that the CSM the task assigns to is an active licensed user.
  • Do not solve this by running plays as a human admins personal identity. That breaks when the person leaves and hides the real access design flaw.
  • Tasks created during recovery need realistic due dates. Backdating them to the original trigger date makes every recovered task instantly overdue and destroys trust in the queue.
