Solution skill
freshdesk "email loop detected" ticket auto-created repeatedly
Complete solution
A guide to breaking Freshdesk email loops that auto-create tickets, in the business-apis-integrations category: identifying the loop partners, filter rules, and loop-protection settings. Use when tickets spawn repeatedly from automated emails, or when two systems email each other into a ticket storm. Not for spam filtering, ticket merge, or notification design.
TL;DR
An email loop is two automated systems replying to each other, and Freshdesk creates a ticket for every round. Break it by finding the other end of the loop (usually a no-reply address, a monitor, or another helpdesk), adding a filter that drops its mail, and enabling loop protection. Then close the spawned tickets in bulk. Loops are an email-routing problem, not a ticket problem.
The query
freshdesk "email loop detected" ticket auto-created repeatedlyUse this when
- Tickets auto-create repeatedly from the same sender
- Ticket counts spike from automated emails
- Two systems appear to email each other
- You are configuring Freshdesk email intake
Not for
- Human spam (different controls)
- Merging the tickets the loop already created
- Designing ticket notifications
- Outbound email deliverability
Steps
1. Identify the loop partner
Look at the spawned tickets: same sender, same subject pattern, timestamps seconds apart. The partner is usually an auto-responder, a monitoring alert, a no-reply mailbox, or another ticketing system. Name it before doing anything else.
Expected output: the looping sender and system identified.
2. Stop the partner's auto-replies at the source
The durable fix is on the other end: disable its auto-responder, exclude your support address from its alerts, or fix its rule. A filter on your side is a backstop; the source fix is the cure.
Expected output: the partner stops sending automated replies.
3. Add an intake filter for the loop address
Create a rule that drops or quarantines mail from the loop address before ticket creation. Match on sender address and subject patterns. Test the filter with a sample before relying on it.
Expected output: new mail from the loop partner no longer creates tickets.
4. Enable and tune loop protection
Freshdesk detects rapid ticket creation patterns. Confirm loop protection is on and tuned: threshold, time window, and the action (block, quarantine). Defaults may be too permissive for aggressive loops.
Expected output: loop protection active with sane thresholds.
5. Bulk-close the spawned tickets
Select the loop-generated tickets and close or delete them in bulk. Tag them as loop-generated first so reporting can exclude them. Do not leave hundreds of open loop tickets in the queue.
Expected output: queue clean, loop tickets tagged and closed.
Template: the checklist
Freshdesk email loop:
[ ] Loop partner identified (auto-responder, monitor, other helpdesk)
[ ] Partner's auto-replies disabled at the source
[ ] Intake filter drops the loop address before ticket creation
[ ] Loop protection enabled and tuned
[ ] Spawned tickets bulk-closed and taggedVariant phrasings

Why it happens
Email has no loop detection built in, so any two auto-responders pointed at each other recurse forever. Helpdesks auto-create tickets from inbound mail by design, which makes them enthusiastic loop participants. The loop is emergent behavior from two correct features interacting.
Edge cases
- Out-of-office replies: one OOO reply per sender is normal; a loop means something re-sends. Find the re-sender.
- CC storms: the loop runs through CC, not direct mail. Filter on the full recipient list.
- The partner is a customer system you do not control: the intake filter is your only lever. Make it precise.
- Legitimate bulk mail from the same address: scope the filter to the loop's subject pattern, not the whole sender.
