Solution skill

escrow bank account reconciliation is off by exactly one disbursement that posted twice to the GL

Version 1

Complete solution

Fixes an escrow bank account reconciliation off by exactly one disbursement that posted twice to the GL: confirm the bank paid once, reverse the duplicate GL disbursement, and add a duplicate check to the escrow posting process. Use for escrow and trust accounting. Not for a disbursement the bank itself duplicated, which needs a bank claim.

TL;DR

When the rec is off by exactly one disbursement, believe the arithmetic: one disbursement exists twice in the books and once at the bank, or once in the books and twice at the bank. Check the bank statement first - escrow disbursements usually left the bank once, while the GL absorbed the posting twice, commonly once from the escrow system feed and once from a manual journal or a re-imported file. Find both GL entries by amount, date proximity and reference; keep the one sourced from the escrow system of record and reverse the duplicate in the current period with a clear reference to the original. Then reconcile the escrow subledger (per-matter or per-client balances) as well as the bank account, because in escrow accounting the third leg - whose money it was - matters as much as the total.

Use this when

  • An escrow or trust bank reconciliation is out by an amount equal to a single known disbursement.
  • Disbursements post from both an escrow or practice system feed and manual entries.
  • A statement or disbursement file was imported more than once around the period end.

Not for this skill when

  • The bank statement itself shows the disbursement twice. That is a bank error to claim with the bank, not a GL duplicate to reverse.
  • The difference equals several disbursements combined. Work it as a general rec break, not a single duplicate.

Steps

  1. Search the bank statement for the disbursement amount and confirm how many times the bank actually paid it. Verify: the bank side count is proven from the statement
  2. Search the GL escrow account for the same amount and list every posting, with source, journal type and user. Verify: both duplicate GL postings are identified with their sources
  3. Decide which posting is authoritative: the one from the escrow system of record with the matter reference attached. Verify: the surviving posting is chosen and the duplicate is marked for reversal
  4. Reverse the duplicate in the current open period with narration naming the original and duplicate document numbers. Verify: the GL disbursement count now equals the bank count and the rec difference clears
  5. Reconcile the escrow subledger balances per matter or client and add a duplicate reference check to the posting routine. Verify: subledger and bank agree and the preventive check is in place

Compatibility: Escrow and trust accounting in legal, real estate and title contexts, with escrow subledgers in practice management systems feeding SAP, NetSuite or QuickBooks GLs.

Why it happens

Escrow disbursements travel multiple paths into the ledger: the escrow system exports them, bank feeds suggest them, and staff journal them manually when a closing is urgent. Without a single enforced key - the disbursement reference - the same payment can legitimately arrive twice through two paths that each look authoritative. The bank, having paid once, exposes the duplication exactly, which is why an escrow rec out by one clean disbursement amount is the most diagnosable break in trust accounting.

Edge cases / pitfalls

  • Three-way reconciliation (bank, GL, subledger) is a regulatory expectation for trust accounts in many jurisdictions; a two-way tie is not sufficient evidence.
  • Never net the duplicate against a future disbursement; reverse it explicitly so the audit trail shows the error and its correction.
  • Duplicate risk spikes at system migrations and staff changes; add the reference check permanently, not just for this incident.
