how to run a loaner laptop pool

Complete solution

Operates a loaner laptop pool for repairs, new hires waiting on orders, and travel. Covers pool sizing, checkout process, and hygiene. Use when setting up or running loaners. Not for permanent assignments.

TL;DR

Keep a small pool of wiped, updated, standard-image loaners (5 to 10 percent of fleet size), check them out with a due date in the ticket system, and wipe on return before they go back to the pool. The pool fails when loaners become permanent assignments, so enforce the due dates.

The error

(Process task; no error.)

Steps

  1. Size the pool: 5 to 10 percent of the fleet, in the standard configuration. Expected: pool established. Track utilization; grow only if checkout wait times justify it.
  2. Prepare each loaner: wiped, OS updated, standard apps, asset-tagged, marked as loaner in inventory. Expected: ready state. A loaner should be handout-ready in 5 minutes.
  3. Check out with a ticket: user, asset tag, due date (1 to 2 weeks default). Expected: recorded. No ticket, no loaner; this is the enforcement point.
  4. On return: inspect for damage, wipe, update, and return to ready state. Expected: turned around in a day. Never re-loan without wiping.
  5. Chase overdue loaners weekly. Expected: returns or extensions documented. Overdue loaners get escalated to the user's manager after two notices.

When to use

  • Repairs and warranty service
  • New hires waiting on orders
  • Travel spares

When not to use

  • Permanent assignments (provision properly)
  • High-security roles (may need dedicated hardware)

Compatibility

  • Any fleet; MDM-managed loaners

Variants

Remote employees

Ship loaners with the same secure-shipping process as new devices.

Frequent flyers

Some users live on loaners; that is a provisioning problem, not a loaner success.

Why it happens

Repairs take days and orders take weeks, but users need to work today. The pool bridges the gap, and its discipline (wipe, track, due dates) is what keeps it from becoming a shadow fleet.

Edge cases

  • Data on returned loaners: wipe regardless of what the user says is on it.
  • Charge for damage per policy; document condition at checkout with photos for disputable cases.
