## TL;DR
KB syncs fail for boring reasons: the source URL is unreachable, the content changed shape, or the sync hit a size or rate limit. Diagnose from the sync status: check source accessibility first, then content shape, then limits. Fix the source, retry the sync, and monitor sync health so staleness never goes unnoticed. A KB that silently stops syncing is worse than no KB.

## The query

```text
voiceflow knowledge base sync failed
```

## Use this when

- Knowledge base syncs fail or error
- Assistant answers go stale
- You are debugging data sources
- Setting up KB sync monitoring

## Not for

- Authoring KB articles
- Designing assistant behavior
- Voiceflow plan or billing questions
- Prompt engineering

## Steps

### 1. Read the sync status and error detail

The sync log names the failure: unreachable source, parse error, size limit, auth failure. Read it before touching anything. Each error class points at a different fix; guessing wastes the retry.

Expected output: the specific failure class identified.

### 2. Verify the source is accessible

Fetch the source URL or file yourself from outside Voiceflow. If you cannot reach it, neither can the sync: fix DNS, auth, or permissions on the source. Most sync failures are source problems, not platform problems.

Expected output: source accessibility confirmed or the source fixed.

### 3. Check the content shape did not change

If the source moved from clean articles to a JS-heavy page or a changed format, the parser may now fail. Compare the current source against what the sync expects. Content drift breaks parsers quietly.

Expected output: content shape verified against parser expectations.

### 4. Respect size and rate limits

Large sources hit document or size caps; frequent syncs hit rate limits. Split oversized sources, reduce sync frequency to what the content actually needs, and stay under the caps deliberately.

Expected output: sources sized and scheduled within limits.

### 5. Monitor sync health and staleness

Alert on failed syncs and on successful syncs that change nothing for suspiciously long. A sync that "succeeds" while the source moved is a silent staleness bug. Monitor both failure and freshness.

Expected output: sync failure plus content-freshness alerting.

## Template: the checklist

```text
KB sync health:
[ ] Failure class read from the sync log
[ ] Source accessibility verified externally
[ ] Content shape checked against parser expectations
[ ] Sources sized and scheduled within limits
[ ] Failure and freshness monitoring in place
```

## Variant phrasings

### voiceflow kb not syncing

Steps 1 and 2. Read the log, check the source.

### knowledge base sync error

Steps 1 through 4 as the diagnostic order.

### kb content stale voiceflow

Steps 4 and 5. Limits plus freshness monitoring.

## Why it happens

KB syncs are background jobs nobody watches: configured once, they run until the source changes, the auth token expires, or the content outgrows a limit. Nobody notices because the assistant keeps answering from the last good sync, getting staler by the day. The failure is silent by design; the monitoring has to be deliberate.

## Edge cases

- Auth expiring on the source: tokens for private sources expire. Refresh them on a schedule, not on failure.
- Partial syncs: some documents sync while others fail. Check per-document status, not just the job status.
- Deleted source content: removed pages should be removed from the KB, not left as ghosts. Handle deletions.
- Sync during source migration: freeze or expect failures during migrations; do not debug a moving target.
