ServiceNow onboarding order guide failed: catalog task creation error troubleshooting
Complete solution
Fixes a ServiceNow onboarding order guide failing at catalog task creation by repairing the guide flow and catalog item setup. Use when the order guide submits but tasks never appear. Not for fulfilment delays after tasks exist.
TL;DR
Repair the order guide rule or catalog item that fails to spawn tasks. Open the failed order and its guide execution record, find the item whose task creation errored, fix the usual causes, an inactive catalog item, a broken assignment rule, or a required variable with no value, then resubmit the guide for the hire and confirm every expected task exists with an owner.
ServiceNow onboarding order guide failed: catalog task creation errorUse this when
- Submitting the onboarding order guide errors or completes with missing catalog tasks.
- One catalog item in the guide consistently fails while others create tasks.
- The guide worked until a catalog or flow change was promoted.
Not for this skill when
- Tasks exist but sit unassigned in a queue. That is assignment triage, not creation failure.
- The guide itself cannot be opened or submitted. Fix guide access and form errors first.
Steps
- Open the ServiceNow order guide execution and requested item records for the hire for the affected hire and capture the full error detail, the operation that failed, and the identifiers involved, rather than working from the summary banner alone. Keep one hire as the test case for every change so cause and effect stay clear. Verify: the full error detail and one test hire are recorded
- Open the requested item and catalog task tables filtered to the hire request and compare the items the guide should have produced with the records that exist, identifying the exact item whose task creation failed and any error logged on the request. Verify: the failing catalog item is named
- Inspect that item setup: confirm the catalog item is active, its fulfilment flow or workflow runs without a published error, the assignment group it routes to still exists, and every mandatory variable receives a value from the guide mapping. Verify: each setup element is checked with a pass or fail note
- Apply the correction in ServiceNow and save it, then re-run provisioning for the single test hire only and read the fresh log entry end to end. If it still fails, treat the new detail as the current cause and do not stack further changes on top. Verify: the test hire provisions successfully or a new specific detail replaces the old one
- Fix the broken element: reactivate or repair the item flow, point the assignment rule at the current fulfilment group, or supply the missing variable from the guide form data, testing the item standalone through a single request before rerunning the whole guide. Verify: the hire downstream task check passes in ServiceNow
- Resubmit or complete the guide for the affected hire so all tasks exist with realistic due dates based on the real start date, and notify any fulfilment team whose task arrives late. Verify: the hire downstream checks pass in their own systems
Why it happens
Order guides are bundles: the guide collects one form and fans it out into many catalog items, each with its own flow, assignment rules, and variables. A single stale item, often one whose fulfilment group was renamed or whose flow was edited, fails task creation for its slice while the rest of the guide looks healthy, leaving a partial onboarding nobody notices until a team asks where its task is. Testing items individually isolates the stale element, and adding the guide to change testing reflects that its reliability is the product of every item inside it.
Variants and edge cases
Task created but immediately closed as incomplete
A flow that validates variables after creation can auto-close tasks when a guide variable name changed. Align the variable names between guide and item.
Only hardware items fail
Hardware items often depend on a stockroom or model record that was retired. Point the item at current models and stockrooms.
Guide works in the test instance but not production
A promotion that missed a related flow or group record is typical. Compare the item dependency records between instances.
Compatibility: Applies to ServiceNow order guides and catalog task creation in ITSM. Requires catalog administrator access.
