Fixes a one-cent cash in bank difference after JE-1042 posted badly: trace the rounding line, correct the entry, and clear the penny without a plug. Use when cash is out by 0.01 after a named journal. Not for larger cash breaks from missing transactions.

TL;DR

A one-cent cash difference after a single journal entry is a rounding artifact, not a missing transaction. Open JE-1042 line by line, find the line where the entered amount was rounded from a calculated amount, and post a one-cent correction to the rounding difference account with JE-1042 cited in the memo. Then rerun the bank rec so the penny does not roll into next month.

Use this when

  • Cash in bank is out by exactly 0.01 and JE-1042 is the only entry in the window.
  • JE-1042 contains calculated lines such as allocations, tax splits, or converted amounts.
  • The bank statement side agrees; only the book side is off by the cent.

Not for this skill when

  • Cash is off by more than a few cents. That points to a missing or duplicated transaction, not rounding.
  • Many entries posted in the window and none is identified. Run a full bank rec exception review first.

Steps

  1. Pull JE-1042 in full, including hidden rounding or system-generated lines, and note its posting status and any reversal. Verify: you can see every debit and credit line the entry created
  2. Recompute each calculated line from its source amounts and mark the line whose rounded value differs from the exact value. Verify: the marked lines explain the full 0.01
  3. Check whether the ERP already posted a rounding line to a rounding account in a different period. Verify: no existing rounding line for JE-1042 exists elsewhere
  4. Post a single 0.01 correction entry to the rounding difference account, referencing JE-1042, in the same period if it is still open. Verify: cash in bank now agrees to the subledger to the cent
  5. Rerun the bank reconciliation for the account and confirm the penny no longer appears as an outstanding item. Verify: the rec shows no 0.01 reconciling item

Variant phrasings

journal entry off by one cent cash account

The penny-difference phrasing.

JE rounding difference bank reconciliation penny

When the cent keeps appearing on the rec.

Compatibility: Any double-entry ERP with a rounding difference account, including NetSuite, Sage Intacct, and Xero journals.

Why it happens

Systems store amounts at higher precision than they display. A calculated line can carry fractions of a cent that round differently on the debit side and the credit side, and a partially failed post can drop the system rounding line entirely. The result is a real one-cent book difference even though no money moved. Because it traces to one entry, it should be corrected at entry level, not absorbed in the rec.

Edge cases / pitfalls

  • If JE-1042 was already reversed and reposted, check the replacement entry too; the penny often lives in the repost, not the original.
  • Recurring one-cent breaks on the same account usually mean one recurring template has a hard-coded rounded line. Fix the template.
  • Some banks round interest to whole cents differently from the ERP. That creates a statement-side cent, which belongs in the rec, not in a journal.
