reversed ACH posted as a new debit: "duplicate debit" error instead of netting the original
Complete solution
Fixes a reversed ACH posted as a new debit instead of netting the original, flagged as a duplicate debit: link the reversal to its original entry, offset them, and fix the return-code mapping. Use when an ACH return appears as fresh spend. Not for a genuinely new second debit.
TL;DR
An ACH reversal carries a return code and the original trace number, but if the import ignores them it books the return as a brand-new debit and spend doubles on paper. Find the original debit, match the reversal by trace number and amount, and offset the pair so the net effect is the single real movement plus any return fee. Then map the return codes so future reversals post as reversals.
reversed ACH posted as a new debit: "duplicate debit" error instead of netting the originalUse this when
- A debit appears twice in the books while the bank shows one debit and one reversal credit, or one net movement.
- The second book debit carries a return code or R-code in its bank detail.
- The vendor or payroll account shows the payment as returned, not paid twice.
Not for this skill when
- The bank actually debited twice and no reversal exists. That is a bank dispute, not a bookkeeping link problem.
- The second debit is a re-presentment of the returned item, which is a real new attempt. Book it as such with the return linked, not netted away.
Steps
- Pull the bank detail for both movements including trace numbers and return codes. Verify: the reversal references the original trace number
- Locate both book entries and confirm the reversal entry posted as a new debit to the same expense or payable account. Verify: the pair shows two debits and no offset
- Confirm with the payee record whether the underlying obligation is still owed after the return. Verify: you know if a replacement payment is needed after the offset
- Post the offsetting correction that converts the second debit into the reversal it is, referencing both trace numbers, and book any return fee separately. Verify: the net book effect equals the bank net movement plus the fee
- Map the ACH return codes in the import so returned items post as reversals linked to originals. Verify: a test or next real return posts netted, not as a new debit

returned ACH payment double counted books
Searching by the doubled spend symptom.
Compatibility: ACH returns handling in bank feeds and AP modules of NetSuite, Sage, QuickBooks, and Dynamics.
Why it happens
ACH returns are corrections inside the banking system, identified by return codes tied to the original entry. Bookkeeping imports that read only amount and direction see a return credit at the bank and, when the ERP models it from the payment side, can generate a second debit entry representing the reopened obligation, then leave it looking like new spend. Without the trace link, the ledger double counts while the bank is perfectly consistent.
Edge cases / pitfalls
- Common return codes such as insufficient funds and account closed change what happens next: the obligation usually remains and needs a replacement payment by another method.
- Payroll ACH returns have employee-level urgency; fix the employee payment first and the bookkeeping link in the same day.
- If the reversal entry was already reconciled as a debit, correcting it reopens that rec item. Note it for the reviewer.
