Tableau server dashboard permissions error: guest user cannot view site fix
Complete solution
Fixes a Tableau Server site where a guest user cannot view a dashboard, by enabling guest access and granting the guest account view permissions. Use when embedded or public views fail for unauthenticated visitors. Not for signed in users who lack permissions, which is a normal group grant issue.
TL;DR
Enable and license the guest account at the site level first, then grant that account explicit view permission on the workbook and its data. Guest access in Tableau Server is off by default, is configured per site, and still respects content permissions, so both halves must be set before an unauthenticated view will render.
Tableau server dashboard permissions error: guest user cannot view site fixUse this when
- Unauthenticated or embedded visitors cannot open a dashboard that signed in users can view.
- The site was recently created, moved, or had its guest settings reset.
- The workbook permissions were set for groups but never for the guest account.
Not for this skill when
- A signed in user gets a permission error. Grant that user or group access through the normal content permissions.
- The whole server is unreachable for visitors. That is a network or gateway problem, not guest configuration.
Steps
- Open the site settings and confirm guest access is enabled for the site that hosts the dashboard. Verify: the site settings show the guest account active
- Check the server licensing and core configuration that guest access depends on, following the Tableau documentation for your version. Verify: no licensing warning blocks the guest feature
- Open the workbook permissions and add the guest account with a viewer capability on the workbook and its project path. Verify: the permissions list shows the guest account with view allowed
- Confirm the guest account can also use the data source or embedded connection the views rely on. Verify: the data connection permission does not deny the guest account
- Open the dashboard in a private browser window with no sign in and confirm the view renders. Verify: the dashboard loads data without a sign in prompt or a permission message
- If the view is embedded, check the site embed settings and the page embed code for the correct site and view path. Verify: the embedded page renders the dashboard for a logged out visitor
Why it happens
Guest access is deliberately a two layer switch, a site feature plus ordinary content permissions, so that enabling it never silently publishes everything. Most failures are one layer set and the other forgotten, usually permissions granted to a guest account that is disabled, or a feature enabled on a site whose workbooks never granted the account anything. Checking both layers in order resolves it predictably.
Embedded views add a third check, the embed settings for the site. Guest access is configured per site rather than per server, so a dashboard can work for guests on one site and fail on another on the same server. The guest account is a real account in the permissions system, which is why it can be granted or denied like any other account once the feature is on.
Field notes for Tableau specifically. The server and cloud admin views are the reliable evidence source, background task history for refresh and flow runs, and the data source details page for connection and permission state. Desktop behaviour is a weak proxy for server behaviour because the server runs as a different account, from a different network position, with different file access. Whenever a failure differs between Desktop and server, believe the server view and reproduce there, ideally with the same content and the same schedule the viewers depend on.
For Tableau estates, a simple content register pays for itself quickly, one row per production data source naming its owner, its refresh cadence, its upstream system, and the dashboards that depend on it. Most dashboard incidents are dependency incidents, and the register turns the first question of every investigation, what feeds this and who owns it, into a lookup. Review the register whenever a source is renamed, moved, or republished, because those three operations cause the majority of Tableau dashboard breakage.
