## TL;DR

The assistant could not parse the folio's line items (unusual layouts, scanned-image folios, or bundled charges defeat the parser), so it left the expense as a lump sum. Open the hotel expense, switch to itemization view, and enter the folio lines manually: room charges per night, taxes, and incidentals. Itemization matters because room, tax, and meals post to different GL accounts and have different tax treatment.

## Error

```text
concur expense assistant failed to itemize the hotel folio
```

## Steps

1. Open the hotel expense in Concur and view the attached folio. Expected: you can read the folio's line items (room, tax, incidentals).
2. Switch the expense to itemized view. Expected: the itemization grid appears with the total to allocate.
3. Enter each folio line: nightly room charges, taxes and fees, and incidentals (meals, parking) as separate itemizations. Expected: the itemized lines sum to the folio total.
4. Attach the folio image to the expense if it is not already attached. Expected: the itemization is backed by the source document.
5. Save and resubmit. Expected: the expense validates as itemized and routes for approval.

## When to use

- Concur Expense Assistant fails to itemize a hotel folio.
- The folio is a scanned image the parser cannot read.
- The hotel uses a non-standard folio layout.

## When not to use

- The folio itemized but with wrong values (correct the values, not the structure).
- The stay was a single charge with no itemization requirement.
- The failure is in a different expense type.

## Tool compatibility

SAP Concur Expense with Expense Assistant (current 2026 releases). Applies to hotel expenses.

### Variant phrasings

### hotel folio left as a lump sum in concur

The assistant gave up on parsing. Itemize manually.

### scanned folio won't itemize in concur

Image folios defeat the parser. Read it yourself and enter the lines.

### bundled hotel charges need splitting in concur

Resort fees and packages bundle lines. Break them out per the folio.

## Why it happens

Folio parsing depends on recognizing the hotel's layout, and the long tail of property-management systems produces layouts the parser never trained on. Scanned-image folios add OCR error on top. When confidence is low, the assistant leaves a lump sum rather than guessing wrong, because mis-itemized tax lines create real accounting errors. Manual itemization is the designed fallback.
