Tableau workbook publish failed: missing data source error how to fix
Complete solution
Fixes a Tableau workbook publish that fails with a missing data source error by embedding or republishing the source with the workbook. Use when publishing from Desktop stops on a source the server cannot resolve. Not for a publish blocked by server permissions on the target project.
TL;DR
Publish the data source first under the exact name the workbook expects, or embed the extract in the workbook during publishing, then publish again. The server validates every connection at publish time and rejects the workbook when a referenced published source is absent from the target site or project. Resolving the source reference is the whole fix in most cases.
Tableau workbook publish failed: missing data source error how to fixUse this when
- Publishing stops with a missing data source message naming a published source.
- The workbook publishes to one site or project but fails on another.
- The source was published separately and later deleted or renamed on the server.
Not for this skill when
- The workbook publishes but views show no data. Check extract and permissions after a successful publish instead.
- Publishing fails with a sign-in or project permission error. Resolve access before checking sources.
Steps
- Read the publish error detail and write down the exact source name and project it expects. Verify: the named source is absent or differently named in the target location
- Publish the data source to the target site and project first, using the exact expected name, and confirm it appears in the content list. Verify: the source shows in the target project with a successful connection test
- Reconnect the workbook to that published source in Desktop, replacing any local or stale reference, and check the sheets for broken fields. Verify: no sheet reports a missing field after the reconnect
- Publish the workbook again and confirm the publish options keep the connection as a published source rather than an unmanaged copy. Verify: the publish completes and the workbook appears in the target project
- Open the published workbook on the server and run any extract refresh attached to the source. Verify: views render current data on the server, not only in Desktop
- If the source must travel with the workbook instead, republish with the extract embedded and note the change for the owning team. Verify: the server copy lists an embedded source and refreshes on its own schedule
Why it happens
Publish time validation is strict because the server must be able to run the workbook without the analyst machine. Any reference that only resolves locally, a file path, a source on another site, a source under a previous name, fails that validation. Keeping sources and workbooks published as matched pairs, with stable names, is what makes promotion between environments routine.
A workbook that references a published data source stores the site, project and source name. Publishing to a different site, a renamed project, or an environment where the source was never published leaves that reference dangling, and the publish dialog reports the source as missing. File based connections fail the same way when the file path exists on the analyst machine but not in a location the publish flow can package.
