cannot reconcile: period is soft-closed" error when attaching the new statement
Fixes a cannot reconcile period is soft-closed error when attaching a new statement: understand what soft close blocks, get the rec exception approved or attach under the soft-close workflow, and keep the audit trail. Use when the statement is for a soft-closed period. Not for hard-closed periods.
TL;DR
Soft close is a warning state, not a wall: reporting is frozen for review, but controlled work like attaching a statement and completing a rec is usually allowed with approval or by a named role. Read the soft-close settings for what is blocked, then either have the period owner grant the rec step access, or complete the rec in the next open period with the statement period documented. Do not hard-reopen a soft-closed period just to attach a file.
"cannot reconcile: period is soft-closed" error when attaching the new statementUse this when
- The period is soft-closed, not hard-closed, and the error blocks attaching a statement.
- The statement belongs to that soft-closed period and the rec is part of closing it properly.
- A controller or period owner is available to approve the controlled completion.
Not for this skill when
- The period is hard-closed or the year is filed. Attachments belong in the next period's rec with disclosure, not in that period.
- You need to post adjusting journals into the period, not just attach a statement. Journal posting may be genuinely blocked even in soft close; use the adjustment workflow.
Steps
- Check the period status precisely: soft close, hard close, or locked, and which operations each state blocks in your ERP. Verify: the blocked operation list comes from the system settings
- Identify the period owner or role allowed to perform or approve rec work in a soft-closed period. Verify: a named approver and the approval path are known
- Request approval citing the statement, the account, and that no journals will post into the period without separate approval. Verify: approval is recorded on the close checklist
- Attach the statement and complete the rec under the approval, logging any reconciling items that need journals for separate handling. Verify: the rec completes and its items are listed, not silently posted
- Leave the period in soft close when finished and record the completion on the checklist. Verify: period state is unchanged and the rec is attached as evidence
Variant phrasings
soft closed period cannot reconcile attach statement
The soft-close phrasing.
reconciliation during soft close approval workflow
When working under approval.
Compatibility: Soft and hard period close controls in NetSuite, Sage Intacct, Dynamics 365, and Oracle close management.
Why it happens
Soft close exists to stabilise reported numbers while finishing work continues: recs complete, statements attach, and only posting is restricted or watched. Teams often configure it as a blunt block because that is the default template, turning a review aid into a wall that delays the very recs the close needs. Knowing exactly which operations the state blocks, and who can approve exceptions, keeps the control meaningful without making it counterproductive.
Edge cases / pitfalls
- If soft close blocks recs every month, reconfigure it to block journals but allow rec work; the recurring exception is a design smell.
- Document reconciling items discovered in soft close promptly, because their journals need the separate posting decision while the period owner is engaged.
- Hard close is different in kind: do not let familiarity with soft-close approvals blur into treating hard closes as flexible.
