Immutable solution version

price variance exceeds tolerance" error on the invoice match for the raw materials PO

Version 1

Complete solution

Fixes a price variance exceeds tolerance error on a raw materials invoice match: verify the PO price, the contract price, and any index or surcharge clause before approving or disputing. Use when invoice price is above PO price beyond tolerance. Not for quantity exceptions.

TL;DR

Raw materials prices move, and the variance is real until proven otherwise. Compare the invoice price to the PO price, the underlying contract or index clause, and the last paid price. If a contract escalation or a published index explains it, approve with the clause cited and update the PO price for future orders. If nothing explains it, dispute the difference with the vendor and pay at the PO price.

"price variance exceeds tolerance" error on the invoice match for the raw materials PO

Use this when

  • The match exception is price variance on a raw materials PO.
  • The invoice unit price exceeds the PO unit price by more than the tolerance percentage or amount.
  • The material is subject to index pricing, surcharges, or frequent repricing.

Not for this skill when

  • Quantities disagree as well. Resolve the quantity exception first; price on the wrong quantity is meaningless.
  • The PO price was a known placeholder on a blanket order. Then the process fix is PO price maintenance, not a vendor dispute.

Steps

  1. Extract the PO price, invoice price, tolerance rule, and variance amount for the line. Verify: the variance is stated in both percent and currency
  2. Check the supply contract, price list validity dates, and any index or fuel surcharge clause covering the invoice date. Verify: a clause either explains the price or none applies
  3. Compare with the last three paid prices for the same material and vendor. Verify: you know whether this price is a trend or an outlier
  4. If explained, approve the variance citing the clause, and update the standing PO or price list so the next invoice matches clean. Verify: the approval carries the clause reference
  5. If unexplained, pay at the PO price, notify the vendor of the disputed difference with the PO terms attached, and log the claim. Verify: the dispute is recorded on the invoice, not just in email

Why it happens

Tolerance exists because tiny price differences are not worth blocking payment, but raw materials sit at the opposite extreme: contract prices float with indices, surcharges appear as separate lines or inside the unit price, and POs are often cut before the final price is published. The match sees only PO price versus invoice price, so every legitimate float looks like an overcharge until someone checks the pricing basis.

Edge cases / pitfalls

  • Freight and surcharge lines folded into unit price create variance that looks like a base price rise. Ask the vendor for the price build-up.
  • A tolerance set years ago in percent terms may now be trivially small in currency terms for high-priced materials. Review tolerance in both measures.
  • If the vendor applies an index, agree the index source and publication date in the contract; most disputes are about which month index applies.
