Solution skill

outstanding checks list total changed after the period was locked: bank rec no longer ties to last month

Version 1

Complete solution

Fixes an outstanding checks list total that changed after the period was locked so the bank rec no longer ties to last month: find the cleared, voided or edited cheque that altered the locked list, restore the locked rec integrity, and lock down prior-period cheque edits. Use for bank reconciliation continuity. Not for a current-month cheque that has not cleared yet.

TL;DR

The outstanding checks list at last month's close was a snapshot of a moment; if its total changed afterwards, someone edited history: a cheque on that list was voided, deleted, re-dated or marked cleared retroactively without reopening the rec. Compare the current outstanding list for that date with the saved reconciliation report from the lock - the difference will name the cheques. Decide the honest correction: if the change was legitimate (a cheque truly voided), process it as a current-period event with its own date, restoring last month's list; if it was an error, undo it. Then tighten permissions so cleared and reconciled cheque records cannot be edited in locked periods, because a rec that can change after the fact is not a control at all.

outstanding checks list total changed after the period was locked: bank rec no longer ties to last month

Use this when

  • This month's bank rec cannot tie because the opening outstanding checks total differs from last month's locked report.
  • Cheques were voided, stop-paid or cleaned up after the period closed.
  • The ERP allows editing payment records in prior periods for some user roles.

Not for this skill when

  • The bank cleared a cheque for a different amount than issued. That is a bank error or alteration case for the current rec.
  • Last month's rec itself never tied. Reopen and fix that rec on its own merits instead.

Steps

  1. Retrieve the saved locked reconciliation report and the outstanding list as reported at that date. Verify: the original list and total are established from the filed report, not from memory
  2. Generate today's outstanding list as of the same date and diff it against the filed list cheque by cheque. Verify: every added, removed or amount-changed cheque is named
  3. Check the audit log or change history for each differing cheque: who changed it, when, and what changed. Verify: each difference has a documented cause and actor
  4. Correct in the current period: restore the locked list by reversing retroactive edits and recording legitimate changes, such as voids, with current-period dates. Verify: last month's rec ties again on its own terms and the changes live in the open period
  5. Restrict edit rights on reconciled payments in locked periods and brief the team on the void-in-current-period rule. Verify: the permission change is active and the process note is issued

Variant phrasings

The continuity break symptom.

voided check changed prior reconciliation outstanding list fix

The common void cause phrasing.

bank reconciliation beginning outstanding list does not match last month

The opening-balance form of the problem.

Compatibility: Bank reconciliation in SAP, Oracle, NetSuite, Dynamics, QuickBooks and Xero, where payment records remain editable unless period and permission controls prevent it.

Why it happens

Reconciliations chain together: this month's opening position is last month's closing position. Systems that store the outstanding list as a live query rather than a frozen snapshot let any later edit to an old cheque rewrite the chain's earlier links. Voids are the usual trigger because AP teams process them whenever a cheque is reported lost, using the original cheque's record, without realising the edit travels back in time and breaks a locked reconciliation.

Edge cases / pitfalls

  • Stop payments at the bank do not change the books until the cheque is formally voided in the ERP; keep the two events separate in the rec notes.
  • Escheatment clean-ups of very old cheques should run as a deliberate current-period project with controller approval.
  • Save the reconciliation report as a PDF or locked snapshot at close; a live reprint is not evidence.
