Solution skill
credit memo never linked to the original invoice: "duplicate liability" error in the match report
Complete solution
Fixes a credit memo never linked to its original invoice, creating a duplicate liability in the match report: find the memo's true parent invoice, link or apply it, and clear the doubled payable. Use when AP shows both a full invoice and an unlinked credit for the same goods. Not for credits that belong to a different invoice.
TL;DR
An unlinked credit memo leaves the original invoice fully payable while the credit floats unapplied, so AP overstates what is owed and the match report flags a duplicate liability. Identify the memo's parent from its references, amounts, and the vendor statement, link it in the ERP so it nets against that invoice, and pay the net. If the parent invoice was already paid, the credit applies to the next payment instead.
credit memo never linked to the original invoice: "duplicate liability" error in the match reportUse this when
- A credit memo exists with no applied invoice and the match report flags duplicate liability.
- An open invoice for the same goods, amount relationship, and vendor remains fully open.
- The vendor statement shows the invoice net of the credit, while the ERP shows both gross.
Not for this skill when
- The credit belongs to a return or a different invoice entirely. Link it to its real parent instead.
- No parent invoice exists in the ERP at all. The credit may reference an invoice booked in a prior system; handle it as an opening-balance item.
Steps
- Pull the credit memo detail: vendor reference, stated original invoice number, reason, and line items. Verify: the memo's own references are captured before searching
- Locate the candidate parent invoice and compare lines, quantities, and amounts. Verify: the credit lines correspond to lines on that invoice
- Check whether the parent invoice is unpaid, partially paid, or already paid in full. Verify: the payment state decides whether the credit nets now or applies forward
- Link or apply the credit memo to the parent invoice in the ERP so the open payable becomes the net amount. Verify: AP open items for the vendor fall by the credit amount
- Rerun the match or duplicate liability report. Verify: the flagged duplicate liability for this pair is gone and the vendor statement now agrees
Variant phrasings

The unlinked-credit phrasing.
unapplied credit memo vendor invoice netting AP

Compatibility: Credit memo application in SAP, Oracle, NetSuite, QuickBooks, and Dynamics AP.
Why it happens
Credit memos arrive through different channels from invoices: email PDFs, vendor portals, EDI segments with a reference field that the import may drop. If the reference is lost, the memo posts as a standalone negative with nothing to net against, and every control that totals open items counts the liability twice in effect: once as the unpaid invoice, once as the unrecognised credit reducing nothing.
Edge cases / pitfalls
- Vendor references on memos are often the vendor invoice number, not your ERP number. Cross-reference through the vendor's own numbering in the search.
- A credit for a price correction after payment should not reopen the paid invoice; apply it to the next remittance and say so to the vendor.
- Monthly vendor statement reconciliation is the safety net that catches unlinked credits while they are still small.
