DocuSign bulk send fails: CSV role column mismatch with the template roles - how to fix

Export

Fixes DocuSign bulk send failures from CSV role-column mismatches: download the sample CSV, diff headers exactly, rebuild the CSV from the sample, and validate rows before sending. Use when bulk lists are rejected while single sends from the same template work. Not for bad row data or quota errors.

TL;DR

DocuSign bulk send matches CSV columns to template role names exactly - including case and spaces. A bulk send fails when a CSV column names a role the template does not have, or when the template has a role the CSV does not fill. Download the sample CSV from the bulk-send flow (it carries the exact role names), rebuild your CSV from that sample, and validate the headers programmatically before sending. The template is the source of truth; the CSV must conform to it, never the reverse.

The query

DocuSign bulk send fails: CSV role column mismatch with the template roles - how to fix

Use this when

  • Bulk send fails and the error points at roles or CSV columns not matching the template
  • The template works for single sends but the bulk list is rejected
  • You renamed a role in the template and previously working CSVs started failing

Not for

  • Bulk sends rejected for bad email addresses in the data rows - that is a row-level data problem
  • Single-envelope sends from the same template - those use the normal recipient flow, not CSV matching
  • Bulk send quota or licensing errors, which are account-level, not column-level

Steps

1. Read the exact role names from the template

Open the template in the DocuSign web console and copy each role name character for character. Better: use the bulk-send flow's 'download sample CSV' action, which generates headers from the live template. Treat that file as the schema. Expected output: a sample CSV whose headers are the authoritative role names, e.g. a column per role plus the standard fields.

2. Diff your CSV headers against the sample

Compare headers programmatically - eyeballing misses trailing spaces and case differences, which are the two most common failures. Every role column in the template must have a matching CSV column and vice versa.

import csv
expected = next(csv.reader(open("sample.csv")))
actual = next(csv.reader(open("bulk_list.csv")))
print("missing:", set(expected) - set(actual))
print("extra:", set(actual) - set(expected))

Expected output: both sets empty. Any entry printed is the column to fix.

3. Rebuild the CSV from the sample, not by editing the old file

Start from the downloaded sample and paste your data into it. Editing the old CSV in place preserves the stale header that caused the failure. Keep the column order from the sample; DocuSign matches by header name, but a clean order makes future diffs readable. Expected output: a new CSV whose header row is byte-identical to the sample's header row.

4. Validate rows before the send

Check that every row has a value in each role column and that email columns look like emails. Bulk send validates the whole file before sending any envelope, so one bad row blocks the entire batch.

import csv
rows = list(csv.DictReader(open("bulk_list.csv")))
bad = [i for i, r in enumerate(rows, 2) if not r.get("Email") or "@" not in r["Email"]]
print("bad rows:", bad[:10], "total:", len(rows))

Expected output: an empty bad-rows list and the expected row count.

5. Send a 2-row test batch first

Run the bulk send with two rows (your own test addresses). Confirm both envelopes create and the roles land on the right recipients before sending the full list. Delete or void the test envelopes after. Expected output: two envelopes in sent state with correct recipient-role mapping.

Tool compatibility

DocuSign eSignature web console bulk-send flow and the bulk-send API. The CSV contract is the same in both. Applies to all account tiers with bulk send enabled.

Variant phrasings

  • DocuSign bulk send CSV role column mismatch template roles
  • DocuSign bulk send fails roles do not match template
  • bulk send CSV headers must match template role names DocuSign
  • DocuSign bulk send rejected CSV column role name

Why it happens

Bulk send is a mail merge: the template defines roles as named slots, and the CSV fills them by header name. There is no fuzzy matching because a near-miss on a role name would silently send a contract to the wrong person - a legal-integrity failure. So the match is exact, and any drift between the template's roles and the CSV's headers fails the batch before anything is sent.

Edge cases / pitfalls

  • Renaming a role in the template breaks every existing CSV instantly - update the CSV in the same change.
  • Hidden or conditional recipients still need their columns present, even if some rows leave them blank.
  • CSV files saved by Excel can gain a BOM or change quoting; validate the uploaded bytes, not the spreadsheet view.
  • The sample CSV reflects the template at download time - re-download it after any template edit.
