closed-won ticket reopened as churn risk: status sync error
Fixes a status sync error where a closed or won ticket reopens as a churn risk by tracing status mappings between helpdesk, CRM, and health systems. Use when ticket statuses flip incorrectly across systems. Not for a ticket a customer genuinely reopened.
TL;DR
Status vocabularies differ per system, and syncs translate them with mapping tables that rot: the helpdesk's solved becomes the CRM's closed-won, but a new pending status maps to open-and-at-risk by default. Find the ticket's status history in each system and read the mapping that mistranslated it.
closed-won ticket reopened as churn risk: status sync errorUse this when
- Tickets show as open churn risks after being resolved
- The pattern affects tickets in one particular status
- A helpdesk status or workflow change happened recently
Not for this skill when
- The customer replied and legitimately reopened the ticket
- Only health scoring, not the CRM, shows the wrong state
Steps
- Pick one affected ticket and record its status timeline in the helpdesk with timestamps. Verify: the true status history is established
- Record the same ticket's status in the CRM and health system at those times. Verify: the moment and direction of the mistranslation are visible
- Read the sync's status mapping table and find the entry for the status involved. Verify: the faulty or default mapping is identified
- Check for other statuses added since the mapping was written that fall through to a default. Verify: all unmapped statuses are listed, not just today's culprit
- Fix the mappings, re-sync the affected population, and add an unmapped-status alert to the sync job. Verify: statuses agree across systems and new statuses fail loudly

Compatibility: Compatibility: helpdesk to CRM status sync (Zendesk to Salesforce, native or middleware integrations), current versions.
Why it happens
Every integration translates vocabularies, and translation tables fail by default value: the status nobody mapped becomes whatever the default says, which is often open. Auditing for unmapped values, not just the known-bad one, fixes the class of bug.
Edge cases / pitfalls
- Defaults should fail safe for churn signals: unmapped should mean unknown and excluded, never at-risk.
- Status renames during helpdesk cleanups silently break mappings. Re-audit mappings after any workflow change.
- A customer reply on a solved ticket may reopen it in one system only. Keep that legitimate path distinct from mapping errors.
