Solution skill

credit memo amounts misread as positive charges

Version 1Sign in to save

Complete solution

Detects credit memos and preserves their negative sign through extraction and posting. Use when credit memos enter the AP pipeline. Not for invoice total validation or payment processing.

TL;DR

Credit memos look like invoices but must reduce what is owed; if the negative sign or 'credit memo' label is lost in extraction, the ERP books a charge instead of a credit. Detect document type first (credit memo vs invoice) from titles and keywords, preserve negative amounts explicitly, and post credit memos to a separate flow that nets against the original invoice.

Error

Posted $500.00 charge; document was a $500.00 CREDIT MEMO

Steps

  1. Classify the document type from title keywords: credit memo, credit note, refund. Expected: A document-type label before any amounts are read.

  2. Preserve negative signs and parentheses as explicit negative amounts. Expected: Signed amounts in the data model.

  3. Link the credit memo to its original invoice via reference numbers. Expected: A netted pair, not two independent documents.

  4. Route credit memos through a separate approval flow. Expected: Credits get the scrutiny they deserve.

  5. Reconcile: outstanding payable for the vendor must decrease by the memo amount. Expected: Proof the memo netted correctly.

When to use

  • Credit memos in the intake stream
  • Documents with negative or parenthesized amounts
  • Vendor statements with mixed documents

When not to use

  • Standard purchase invoices
  • Payment execution
  • Dispute handling

Compatibility

Extractor-agnostic; ERP must support credit memo document types (NetSuite, QuickBooks, Xero, SAP all do).

Variant phrasings

credit memo posted as invoice

negative amount lost in extraction

credit note sign handling

Root cause

Credit memos share the layout of invoices, so extractors treat them identically. The only differences are a title keyword and a sign convention (minus or parentheses), both easy to drop, and dropping them inverts the accounting.

Edge cases

  • Some vendors issue 'negative invoices' instead of credit memos; classify by sign as well as title
  • Partial credit memos need line-level linking to the original
  • Credit memos in a foreign currency need the original invoice's rate context
