due diligence checklist tracker sync fails with timeout error after long wait: how to fix

Complete solution

When it applies

  • A checklist tracker sync spins for a long time and then fails with a timeout message. - The sync worked when the tracker was small and started failing as items and attachments grew. - A partial sync left the two sides with different item counts.

Prove the connection with a tiny batch. Pick five ordinary checklist rows with no attachments and sync only those. Expected: they complete in seconds and appear on the receiving side. If even this times out, the problem is connectivity or the receiving service, not batch size; check its status page and your network before continuing.

Compare counts before retrying anything. Count checklist items on your side and on the receiving side. A timed-out sync may have partly succeeded, so note which items actually arrived. Success check: you have a list of the items that are genuinely missing, which becomes the retry set.

Find the item that stalls the batch. Sync the missing items in halves. The half that times out contains the problem item; keep halving until one item reproduces the timeout on its own. Usual causes: a very large attachment, a malformed row (an unclosed note field, an unexpected character in a title), or a status value the receiver does not accept. Expected: one named item explains the stall.

Fix or isolate that item. Upload its attachment separately (or link the file from the data room instead of attaching it), clean the malformed field, or map its status to a value the receiver accepts. Sync that single item. Success check: it arrives, or it is parked on an explicit exception list instead of blocking everything else.

Sync the remainder in batches. Work through the rest in modest batches (tens of rows, attachments separate), confirming the receiving count grows by the batch size each time. Expected: steady progress with no timeout; stop and repeat step 3 if a new batch stalls.

Raise the timeout only as a last resort. If the tool exposes a sync timeout setting and batches are already small, a modest increase can cover a slow receiver. Do not use a long timeout to push one giant batch through; it hides the stuck item and makes partial-failure cleanup harder.

Problem query: due diligence checklist tracker sync fails with timeout error after long wait: how to fix

TL;DR: Tracker syncs time out when one request carries too much at once: hundreds of checklist rows, large attachments, or a single item the receiver cannot process, so the whole batch waits and dies together. Sync a small batch first to prove the connection, find and isolate the oversized or stuck item, then sync the rest in batches with attachments handled separately. Verify counts on the receiving side after each batch so a retry never duplicates entries.
