Power BI dashboard app update failed: workspace content error troubleshooting

Export

Fixes a Power BI app update that fails on workspace content errors by repairing or removing the broken content before republishing the app. Use when updating an app stops with a content error while the workspace itself opens. Not for an app that updates but whose users lack access to the new content.

TL;DR

Find the content item the app update names and fix it in the workspace first. App publishing validates the included reports and dashboards, and one item with a broken dataset binding, a deleted source, or a personal workspace reference blocks the whole update. Repair the item or remove it from the app content list, then update the app again and confirm the audience sees the new version.

Use this when

  • Updating the app fails and the message points at workspace content.
  • A report or dashboard in the workspace was deleted, moved, or rebound recently.
  • The app has not been updated for a long time and the workspace changed a lot since.

Not for this skill when

  • The app updates successfully but users cannot open a report. That is an audience permission issue after a good update.
  • The workspace itself will not open. Resolve the workspace problem before app publishing.

Steps

  1. Read the app update error detail and note every content item it names. Verify: each named item can be found, or confirmed missing, in the workspace
  2. Open each named report or dashboard directly in the workspace and check it renders and its dataset refreshes. Verify: broken items are separated from healthy ones with a concrete fault each
  3. Repair the broken items, such as rebinding a report to its dataset or repinning a dashboard tile from live content. Verify: each repaired item opens and shows data in the workspace
  4. For an item that cannot be repaired in time, remove it from the app content selection so the update can proceed, and note the removal for the audience owners. Verify: the app content list no longer includes the broken item
  5. Run the app update again and confirm it completes and stamps a new updated time. Verify: the app shows the new version time in the workspace app settings
  6. Open the app as an audience user and check the navigation and the previously broken area. Verify: the audience sees the updated content without errors

Why it happens

App updates are a release gate, and like any gate they expose accumulated workspace problems at the worst moment. Keeping workspace content healthy, and running small frequent app updates instead of rare large ones, keeps the gate boring. The content error is doing its job, it is the timing of its discovery that teams should move earlier.

Power BI apps package workspace content for an audience. The update process checks that every included item is in a publishable state, so workspace decay, a report whose dataset was deleted, a dashboard pinned from content that moved, or an item owned in a way the app cannot include, surfaces only when someone tries to ship an update. Day to day workspace use can look fine while the app quietly becomes unpublishable.

Field notes for Power BI specifically. The refresh history on each dataset, the gateway cluster view in the admin portal, and the workspace activity log together answer most incident questions without opening Desktop. The service and Desktop also diverge in behaviour often enough that a Desktop pass should never close a service incident. Test as a viewer in the browser, in the workspace the audience actually uses, because premium capacity, workspace version, and app publication state all change what the audience experiences compared with the author view.

Power BI estates benefit from an ownership rule that survives staff changes, datasets owned by a team alias or a service account pattern the tenant supports, with a named human deputy. A large share of refresh and security incidents trace back to content owned by someone who left, changed role, or lost a licence. Auditing dataset owners quarterly, and moving orphaned production content before it breaks, prevents the class of failure where the fix is trivial but nobody left on the team has the rights to apply it.

Variants and edge cases

The direct phrasing from the update failure.

Power BI app cannot publish broken report in workspace

The single bad item variant blocking the release.

Power BI app update remove broken dashboard then publish

The removal path variant when a repair cannot land in time.
