Immutable solution version

bank shows a deposit that books as "unidentified receipts" every month, rec fails to clear

Complete solution

Fixes a deposit that lands in unidentified receipts every month and never clears the rec: identify the payer pattern, build a matching rule, and reclass the backlog. Use when the same deposit recurs unnamed. Not for a one-off unknown deposit under investigation.

TL;DR

A deposit that arrives unnamed every month has a stable pattern: same payer, similar amount, same day of month, missing only the reference your matching needs. Pull six months of the item, identify the payer from bank detail or amount history, most often a customer paying without a remittance or a recurring transfer, then book it correctly and write a feed rule keyed on payer and amount range so it never lands in unidentified again.

bank shows a deposit that books as "unidentified receipts" every month, rec fails to clear

Use this when

  • The same or similar deposit posts to unidentified receipts monthly.
  • The rec carries the item forward instead of clearing it.
  • Bank detail holds a payer name or reference the ERP import trims away.

Not for this skill when

  • The deposit is genuinely unidentified and possibly not the company's money. Hold it in suspense and investigate; do not force a rule.
  • A different unknown deposit each month. That is a general remittance quality problem, not one recurring pattern.

Steps

  1. List every occurrence of the deposit for six months with date, amount, and full bank memo text. Verify: the pattern of payer, timing, and amount is visible across occurrences
  2. Identify the payer from the full bank detail, amount history, or by asking the bank for the originator when the memo is empty. Verify: the payer is named from evidence, not guessed from the amount
  3. Determine what the payment is for, an invoice, a recurring service, or an internal transfer, and reclass the backlog occurrences accordingly. Verify: unidentified receipts clears for all past occurrences
  4. Create a matching rule using payer identifier plus amount tolerance that books future occurrences directly. Verify: the rule is scoped narrowly enough that a different payer cannot trigger it
  5. Watch the next occurrence arrive and confirm it books directly and clears the rec without manual work. Verify: the item no longer appears in unidentified receipts

Variant phrasings

unidentified deposit every month bank reconciliation

The recurring-unknown phrasing.

deposit keeps posting to unidentified receipts rule

When building the standing rule.

Compatibility: Bank feed rules in QuickBooks, Xero, NetSuite, and Sage with unidentified receipts or suspense clearing accounts.

Why it happens

Matching rules key on what the import gives them. If the import trims the payer field or the payer pays through a channel that strips references, every occurrence fails matching the same way and lands in the same bucket. Humans clear one month at a time without fixing the key, so the item becomes a permanent rec resident. The pattern across months is the identification evidence a single month cannot provide.

Edge cases / pitfalls

  • Marketplace and processor payouts often arrive under a parent name that differs from the store name. Document the mapping once in the rule.
  • If the payer is a customer, fix the source too: ask for invoice references on payments, or add them to the payment instructions.
  • Never clear an unidentified deposit to income just because it is old. Age is not identification.
