Solution skill
exchange message trace returned incomplete results for a campaign older than the trace window and the agent reported...
Complete solution
Fixes incomplete Exchange message trace results for a campaign older than the trace window, by using historical trace and hunting data instead. Use when a campaign investigation reaches beyond the standard trace period. Not for recent campaigns inside the normal window.

Instructions
TL;DR
Switch sources when the window closes instead of reporting what the partial source says: standard message trace covers a short recent window, so for an older campaign use the extended or historical trace request, hunting EmailEvents data within its retention, and quarantine and purge records, then state clearly in the report which sources covered which dates. An agent that treats an empty trace as no mail will confidently name the wrong origin for any campaign discovered late, which is most real campaigns.
exchange message trace returned incomplete results for a campaign older than the trace window and the agent reported the wrong originUse this when
- The campaign was reported or discovered weeks after delivery and message trace returns few or no rows.
- Users have delivered copies with headers proving the mail existed in the window trace misses.
- The agent report names an origin that contradicts the delivered headers.
Not for this skill when
- Trace is empty because the mail was rejected before acceptance. Gateway logs are the right source there.
- The tenant migrated mail platforms during the period. Expect split records and plan for both systems from the start.
Steps
- Establish the true campaign dates from delivered copies and user reports, not from the first trace attempt. Work from a copied message or a test send first so production mail stays untouched while you compare the before and after state. Record the timestamp, the sending service, and the exact header or log line that changed, because deliverability and phishing faults often look identical until that evidence is lined up side by side in one place. Verify: the campaign start and end dates are set from message evidence
- Run an extended or historical message trace request for that window and sender set, and note its processing time expectation. Do not change more than one setting at a time here. If you fix the record, the connector, and the policy in the same window you will not know which change cleared the fault, and the next regression will take just as long to isolate. Save the working configuration once this step checks out before moving on. Verify: the historical request is submitted with the correct window and identifiers
- In parallel, query hunting and quarantine records for the same identifiers and window, within their retention. Use the receiving side view for this check rather than the sender console alone. Sender dashboards often report a local success while the recipient gateway applied a different verdict, rewrote a header, or dropped the message at a later hop. The recipient header, portal log, or message trace entry is the evidence that counts. Verify: hunting results for the window are collected and dated
- Merge the sources, deduplicate on message ID, and mark any remaining gap dates where no source has coverage. Keep any exception you create narrow and time boxed. Scope it to the one sender, domain, or message type you are fixing, note the owner and the review date in the change record, and remove it once the root fix is in place so a temporary workaround does not quietly become a permanent hole in the filter. Verify: the merged timeline shows coverage and gaps explicitly per date
- Correct the campaign origin in the report using the merged evidence and cite which source each key fact came from. Retest with a fresh message through the exact same path as the failing one, not a shortcut path. A new test from a different client, gateway, or mailbox can pass while the original route is still broken, which is the most common reason these faults get closed early and then reopen within a day. Verify: the corrected report names its sources and the origin matches delivered headers
Why it happens
Every mail data source is a window: message trace is short, historical trace is slower and longer, hunting has its own retention, and gateway logs roll on their own schedule. Investigations that start late, which is normal when a campaign is found through a user report or a threat intel match, fall off the edge of the first source an agent tries. Competent tooling knows the windows and escalates to the next source automatically instead of concluding the mail never existed.
Variants and edge cases
exchange message trace incomplete campaign older than trace window agent wrong origin
The exact window problem wording.
historical message trace extended report old phishing campaign investigation
The historical trace variant naming the longer source.
message trace only 10 days campaign discovered late data sources
The retention fact variant admins search.
Compatibility: Exchange Online message trace and historical trace, Defender hunting retention, gateway log retention.
Edge cases to check:
- Start the historical request early in any late investigation; its turnaround is measured in hours, and everything else can proceed meanwhile.
- Delivered user copies are a source of last resort that outlives every platform window; preserve them at intake.
