Solution skill

Pleo: expense outside policy - category not permitted

Version 1Sign in to save

Complete solution

Handles Pleo's out-of-policy category rejection by recategorizing the expense or routing it through the exception process. Use when Pleo flags an expense as outside policy because the category is not permitted. Not for missing receipts or approval-chain failures.

TL;DR

The expense was coded to a category the company policy does not allow (or the category is disabled for the employee's group). Open the expense, change the category to a permitted one that accurately describes the spend, and resubmit. If no permitted category fits, submit it as a policy exception with a written business reason.

Error

Pleo: expense outside policy - category not permitted

Steps

  1. Open the flagged expense in Pleo and note the rejected category. Expected: the policy flag names the category that is not permitted.
  2. Review the permitted categories for your group in the Pleo policy settings. Expected: you see which categories are allowed.
  3. If a permitted category accurately describes the spend, change the expense to it. Expected: the policy flag clears.
  4. Resubmit the expense. Expected: it routes for approval without the category flag.
  5. If no permitted category fits, keep the accurate category, add a business justification, and submit as a policy exception. Expected: the expense routes to an exception approver.

When to use

  • Pleo flags an expense "outside policy - category not permitted".
  • A category was disabled after the expense was created.
  • An employee's group has a narrower category list than expected.

When not to use

  • The flag is about a missing receipt.
  • The expense needs an approver who is inactive.
  • The category is permitted but the amount exceeds a limit.

Tool compatibility

Pleo web and mobile apps (current 2026 releases). Applies to Pleo card expenses and out-of-pocket claims.

Variant phrasings

pleo "category disabled" on an expense

The category exists but is turned off for the policy. Pick an enabled equivalent or use the exception path.

expense flagged after a policy update in pleo

A policy change disabled the category mid-cycle. Recategorize drafts created before the change.

personal-looking category flagged in pleo

The policy deliberately excludes it. The exception path with a business reason is the only route.

Why it happens

Pleo policies whitelist the categories each group may expense, which keeps spend inside the chart of accounts and the tax plan. Expenses coded outside the whitelist are flagged at validation. The common triggers are stale drafts (category disabled after creation), miscategorization by OCR, and genuinely unusual spend that the policy authors did not anticipate, which is what the exception path is for.
