Solution skill

hubspot company deduplication failed on domain mismatch

Complete solution

Fixes HubSpot company dedupe failing on domain mismatch: normalize domains on both sides before comparing. Handles www, subdomains, and typos. Use when dedupe misses obvious company duplicates. Not for contact dedupe.

TL;DR

Company dedupe compares domains, and "www.acme.com" never equals "acme.com" as raw strings. Normalize every domain the same way (lowercase, strip protocol and www, drop paths) before comparing, and the missed duplicates resolve. Dedupe on normalized domains, never raw input.

Error

(No error; the symptom is duplicate companies whose domains differ only by www, protocol, or casing.)

Steps

  1. Export the suspect companies with their domain values. Expected: you see the variants side by side.
  2. Define one normalization: lowercase, strip http/https, strip leading www., drop trailing slashes and paths. Expected: every variant maps to one canonical domain.
  3. Apply the normalization to a working column and re-run the dedupe comparison. Expected: the missed pairs now match.
  4. Write the normalized domain back to the records (or store it as a separate property your dedupe reads). Expected: future comparisons use clean data.
  5. Merge the found pairs. Expected: one company per real company.

When to use

  • Company dedupe misses pairs with obviously similar domains.
  • An agent's domain-based matching reports no duplicates on messy data.
  • After importing companies from a source with inconsistent URL formatting.

When not to use

  • Contact dedupe (email-based).
  • Companies with no domain at all (need name-based review).

Tool compatibility

  • HubSpot companies API and dedupe tooling.
  • Any normalization step in Python or the sync mapping.

Variant phrasings

dedupe missed www vs non-www

The classic normalization miss.

domain mismatch on identical companies

Same fix; normalize before comparing.

Why it happens

Domains arrive in whatever format the source used. String equality on raw domains is far stricter than human judgment, so dedupe logic that skips normalization misses constantly.

Edge cases

  • Country subdomains (acme.co.uk vs acme.com) may be genuinely different entities; normalize but review.
  • Redirect domains and acquired brands need a manual alias list.
  • Do not normalize away subdomains that distinguish divisions (emea.acme.com) without a policy.
