Immutable solution version

follow-up agent's 'just bumping this' email #7 killed engagement - the collapse tanked the domain reputation

Version 1

Complete solution

Fixes domain reputation damage from an overlong follow-up sequence where touch #7 and beyond killed engagement. Use when an agent runs multi-touch candidate sequences. Key trigger: engagement cratering on later touches while the sequence keeps sending.

TL;DR

Cap the sequence at 3 to 4 touches and sunset non-responders instead of bumping them forever. Each low-engagement touch teaches providers that your mail gets ignored, and by touch #7 the mailbox has a strong unwanted signal on your domain. Shorter sequences with distinct value per touch protect the domain and convert better.

The error

"Just bumping this" follow-up #7 killed engagement - reply and open rates collapsed and the domain reputation tanked with them

Steps

  1. Stop the sequence at touch #4 for all active candidates and move non-responders to a nurture or closed-lost bucket. Expected: no candidate receives touch #5 or later.

  2. Rewrite the remaining touches so each one carries distinct value (new role detail, a relevant insight, a clean breakup email) instead of another bump. Expected: every touch has a reason to exist beyond checking in.

  3. Set a hard cap of 3 to 4 touches per sequence in the agent's config, enforced in code, not convention. Expected: the agent cannot schedule a 7th touch even if asked.

  4. Track open, reply, and complaint rates per touch number and kill any touch that underperforms the earlier ones. Expected: you know exactly which touch drags the sequence down.

  5. Re-warm the domain with short, high-engagement sends before resuming full sequences. Expected: engagement rates recover and placement follows.

Use this when

  • An agent runs multi-touch follow-up sequences to candidates
  • Engagement drops off a cliff on later touches
  • Domain reputation is sliding and sequences are long

Not for this skill when

  • Engagement is fine and a few recipients just say too many emails (tune targeting, not length)
  • The sequence is transactional (interview confirmations, scheduling) where each mail is expected
  • Replies are positive but slow (then the issue is timing, not touch count)

Variant phrasings

  • follow-up sequence too long, killing engagement
  • 7 touch email sequence tanked domain reputation
  • "just bumping this" emails hurting deliverability
  • how many follow-up emails before it hurts the domain

Why it happens

Providers watch engagement per sender: opens, replies, and not-spam votes build reputation; ignores, deletes-unread, and spam flags destroy it. A 7-touch sequence to non-responders is seven rounds of pure negative signal from the same audience. By the later touches the provider has overwhelming evidence the mail is unwanted, and it applies that verdict to the whole domain.

Edge cases

  • Breakup emails outperform bump #7: a clean "should I close this out?" touch gets replies the bumps never did.
  • Different roles, different cadence: executives tolerate fewer touches than active job seekers.
  • Nurture is not a sequence: long-term drip to opted-in contacts is fine; cold follow-up is not.
  • Per-candidate state matters: the cap must count touches per candidate, not per campaign run.
