my invite link says invalid" what to tell users

Export

What to tell users when an invite link reports invalid: the four usual causes are expiry, single-use links already redeemed, copied links with mangled characters, and account mismatches. Use when users report invalid or expired invite links, or when writing help copy for onboarding flows. Not for building invite systems, token security design, or debugging auth servers.

TL;DR

An "invalid" invite link is usually not broken. It is expired, already used, copied with extra characters, or opened while signed into the wrong account. In that order, those four cover nearly every report. Check the link's age and use count before escalating, and do not resend the same link to "try again" without finding out why the first one failed.

The query

"my invite link says invalid" what to tell users

Use this when

  • A user reports an invite link showing invalid or expired
  • Onboarding stalls at the invite step
  • A resent link fails the same way
  • You are writing help copy for invite flows

Not for

  • Building invite or onboarding systems
  • Invite code security design
  • Debugging auth servers or session handling
  • Phishing investigations (different playbook)

Steps

1. Ask when the link was issued

Expiry is the top cause. Most invite links live 24 to 72 hours. If the link is older than its window, stop troubleshooting and issue a fresh one.

Expected output: link age confirmed against the expiry window.

2. Check whether it is single-use and already redeemed

Many invites die after one successful use. Corporate link scanners and preview bots can burn a single-use link before the human clicks it. Check the redemption record, not the user's memory.

Expected output: redeemed or unused, from the system record.

3. Have them paste the link into plain text and compare

Trailing spaces, line breaks from email wrapping, and doubled scheme prefixes silently mangle links. Have the user paste it into a text editor and read it back character by character, or send you the exact string they clicked.

Expected output: a clean, complete link string.

4. Confirm the account

Invites are issued to a specific email. Opening the link while signed in as someone else fails with "invalid." Ask which account they are signed into, and whether the invite was forwarded to them by a colleague.

Expected output: account on the invite matches the signed-in account.

5. Issue a fresh link only after ruling out steps 1 to 4

If the link was mangled or scanned, a fresh link to the same inbox fixes it. If it was an account mismatch, the fresh link goes to the right address. Note the cause on the ticket so the next agent does not start over.

Expected output: a new working link, and the user is in.

Template: the reply

Sorry about that, [Name]. "Invalid" on an invite link usually means one of four things, and we can sort it fast:

1. The link expired (most links last [window]).
2. It was already used - some email scanners click links before you do.
3. It got mangled when copied - a stray space or line break breaks it.
4. You are signed in with a different account than the invite was sent to.

Can you tell me which email the invite went to, and whether you might be signed in under a different one? I will send a fresh link to the right place.

Variant phrasings

invite link expired

Step 1, then issue fresh. Do not make the user re-ask.

invite link not working

Run the full sequence. "Not working" hides which of the four it is.

invite says already used

Step 2. Check scanner pre-clicks before accusing the user of double-clicking.

Why it happens

Invite links carry expiry and single-use limits by design, because an invite is a credential. Email clients wrap long URLs across lines, and security scanners fetch every link in every message. Both behaviors are normal, and both kill links in ways that look like breakage to the user.

Edge cases

  • Forwarded invites: the link belongs to the original recipient's email. Reissue to the new person.
  • SSO-required orgs: the link is fine, but the user must authenticate first. Tell them the order.
  • Link scanners: if one domain's users always burn single-use links, consider multi-use or longer-lived links for that domain.
  • Case sensitivity: some codes are case-sensitive. Confirm exact casing when reading back.
