freight on a separate invoice: "line total mismatch" error breaks the three-way match
Fixes freight billed on a separate invoice breaking the three-way match with a line total mismatch: separate the freight expectation from the goods lines, match goods on their own totals, and clear freight against the shipment. Use when the goods invoice or a second invoice carries freight the PO lines do not. Not when freight was included in the goods price.
TL;DR
Line total mismatch on freight happens when the match compares a freight-inclusive invoice total to goods-only PO lines, or a separate freight invoice has no PO line to land on. Split the comparison: match goods lines to goods lines at goods totals, and handle freight as its own line matched to the shipment and the freight terms, whether the terms are prepaid and add, collect, or included. Once freight has its own home, the goods match stops breaking.
freight on a separate invoice: "line total mismatch" error breaks the three-way matchUse this when
- The goods quantities and prices agree, but line totals differ by a freight amount.
- A second invoice from the vendor or carrier covers freight for the same shipment.
- PO terms say freight prepaid and add, or freight is billed separately by agreement.
Not for this skill when
- Freight was supposed to be included in the unit price. Then the separate freight billing is a vendor error to dispute, not a match structure to build.
- The total difference is not freight-sized or freight-labelled. Investigate the difference on its own terms.
Steps
- Compare the invoice line by line with the PO and isolate the exact difference, confirming it equals the freight charge. Verify: the residual after removing freight is zero on goods lines
- Read the PO freight terms and the vendor quote to establish who pays freight and how it is billed. Verify: the billing pattern matches the agreed terms
- Add or use the freight line or freight condition on the PO so the match has a freight target with the expected amount or a tolerance. Verify: the PO now carries a freight expectation the invoice can match
- Match the goods lines at goods totals and the freight line against the shipment and rate evidence. Verify: both parts clear without forcing the other
- Record the freight treatment on the vendor master or template so the next order from this vendor is structured the same way. Verify: the template shows freight as separate or included, matching the terms

Why it happens
Match engines compare like with like at line level, but freight obeys shipment logic, not item logic: it depends on weight, distance, and carrier, and is often unknown when the PO is cut. If the PO pretends freight does not exist, the first document that mentions it, the invoice, breaks the comparison. Giving freight an explicit line or condition with its own tolerance aligns the match model with how freight is actually bought.
Edge cases / pitfalls
- Double payment risk: freight on the goods invoice and on a carrier invoice for the same shipment. The split comparison is also where that duplication becomes visible.
- Estimated freight on the PO versus actual freight invoiced will differ; freight tolerance should be wider than goods price tolerance.
- Collect shipments, where the buyer pays the carrier directly, should never show freight on the vendor invoice. Flag it if it appears.
